Creating your account

Go to re-voo.com/signup and sign up with your email address. No credit card required to start.

After signing up, you'll receive a verification email. Click the link inside to activate your account - you won't be able to connect your Google Business Profile until your email is verified.

Already have an account?

Go to re-voo.com/signup and click Sign in at the top of the page.

Forgot your password?

Click Forgot password on the sign-in page and enter your email. You'll get a reset link within a few minutes. Check your spam folder if it doesn't arrive.

Tip: Use the same email address you use for Google Business Profile - it makes connecting your account simpler.

Connecting Google Business Profile

Once your account is verified, go to your Dashboard and click Connect Google Account.

Step by step

  • Click Connect Google Account
  • A Google sign-in window will open. Sign in with the Google account that manages your Business Profile
  • Review the permissions Re-Voo is requesting and click Allow
  • Re-Voo will load your locations. Select the one(s) you want to manage
  • Click Save - Re-Voo will immediately begin pulling in your reviews
  • Which Google account should I use?

    Use the Google account that has Owner or Manager access to your Business Profile. If you're not sure which account that is, go to business.google.com and see which account you use to manage your listing.

    Note: If you see an "unverified app" warning from Google, that's normal - see the Troubleshooting section for how to proceed safely.

    On day 7 you'll receive an email to choose a plan. If you don't subscribe, Re-Voo stops generating new replies but your account and existing data are preserved.

    You can reactivate at any time from your dashboard - just go to Billing → Choose a plan.

    To get the most from your trial, connect your Google account on day 1 and review the AI replies Re-Voo generates. The goal is to see whether the quality is good enough for your business before you commit.

    Reviewing your first AI replies

    Once your Google account is connected, Re-Voo pulls in your unanswered reviews and generates a reply for each one. You'll see them in your dashboard under Pending Replies.

    What you can do with each reply

  • Approve - posts the reply to Google immediately
  • Edit then approve - modify the text, then post
  • Regenerate - ask the AI for a completely different version
  • Skip - dismiss without posting (the review stays unanswered)
  • What makes a good AI reply?

    Re-Voo's replies are designed to be personal and specific to the review content - not generic templates. A 5-star review with "great service" gets a short, warm reply. A 3-star review mentioning a specific issue gets a more detailed, empathetic response.

    If the first few replies aren't quite right for your tone, go to Settings → Business Profile and update your business type and preferred tone. Then regenerate the replies.

    How review replies work

    Re-Voo connects to your Google Business Profile and monitors for new reviews. When a new review comes in:

  • Re-Voo detects it (usually within a few minutes)
  • The AI analyzes the review - star rating, sentiment, and specific content
  • A draft reply is generated and added to your Pending Replies queue
  • You approve (or edit and approve) the reply
  • Re-Voo posts it to Google on your behalf
  • Auto-reply mode

    If you enable auto-reply in Settings, steps 4 and 5 happen automatically without your approval. Re-Voo will post replies directly. You can still edit or delete them from Google afterward.

    Review sync frequency

    Re-Voo checks for new reviews every few minutes. New reviews are typically available to reply to within 5–10 minutes of appearing on Google.

    Approving, editing, and rejecting

    All pending replies live in your Dashboard → Pending Replies queue.

    Approving a reply

    Click Approve on any reply. Re-Voo posts it to Google within seconds. The review moves to Replied in your dashboard.

    Editing before approving

    Click Edit to open the reply in a text editor. Make your changes, then click Approve edited reply. Your edited version is what gets posted.

    Regenerating

    Not happy with the draft? Click Regenerate to get a new version from the AI. You can regenerate as many times as you like.

    Skipping / rejecting

    Click Skip to dismiss the draft without posting. The review stays unanswered on Google. You can always come back and reply manually later, or trigger Re-Voo to generate a new draft by visiting the review.

    Editing tip: If you find yourself making the same edit repeatedly (e.g., always adding your manager's name), go to Settings → AI Instructions and add it there. The AI will include it automatically going forward.

    Enabling auto-reply

    Auto-reply lets Re-Voo post replies to Google automatically without your review. Go to Settings → Auto-reply and toggle it on.

    When auto-reply makes sense

    Auto-reply is ideal if:

  • You've reviewed dozens of Re-Voo replies and the quality is consistently good
  • You receive a high volume of reviews (10+ per week) and review fatigue is real
  • Most of your reviews are positive (4–5 stars)
  • When to keep manual review

    Stay in manual review mode if:

  • You receive frequent negative reviews that need a human touch
  • Your business is in a sensitive industry (medical, legal, financial)
  • You want to customize replies before they go public
  • Auto-reply with filters

    You can enable auto-reply for positive reviews only (4–5 stars) while keeping 1–3 star reviews in manual review mode. Go to Settings → Auto-reply → Star rating filter.

    Most users start in manual mode for the first week, then switch to auto-reply once they're confident in the quality. This is the recommended approach.

    Handling negative reviews

    Negative reviews are where Re-Voo adds the most value - crafting a response to a 1-star review is hard and time-consuming to do well manually.

    How Re-Voo handles negative reviews

    The AI reads the specific complaint in the review and generates a response that:

  • Acknowledges the issue without being defensive
  • Apologizes genuinely (even if the customer was wrong)
  • Offers a resolution path (e.g., "please reach out to us at...")
  • Keeps the tone professional and on-brand
  • Always review negative reply drafts manually

    Even if you have auto-reply enabled, we recommend keeping negative reviews (1–3 stars) in manual review mode. These are higher stakes - a poor reply can make a bad situation worse publicly.

    Go to Settings → Auto-reply → Star rating filter to auto-reply only on 4–5 star reviews.

    Customizing the negative review approach

    Go to Settings → AI Instructions and add guidance like: "For negative reviews, always invite the customer to contact us at [phone/email] to resolve the issue." This gets included in every negative reply automatically.

    Important: Never auto-reply to reviews that mention a specific legal claim, safety incident, or reference an ongoing dispute. Always handle those manually.

    How the AI generates replies

    Re-Voo uses Claude (built by Anthropic) to read each review and generate a contextually appropriate response. It's not a template engine - every reply is written fresh based on:

  • The star rating
  • The specific content of the review (what the customer mentioned)
  • Your business type and industry
  • Your preferred tone setting
  • Any custom instructions you've added in Settings
  • Why this matters

    Google can detect copy-paste template responses and they hurt your SEO. Authentic, personalized replies rank better and convert more potential customers reading your reviews.

    Re-Voo's replies reference specific things the reviewer mentioned - a dish, a staff member's name, the occasion they visited for - which signals to both Google and future readers that you're paying attention.

    Does Re-Voo learn from my edits?

    Not automatically. If you frequently edit replies in a consistent way, go to Settings → AI Instructions and document your preferences there. The AI uses those instructions on every reply it generates.

    Setting your reply tone

    Go to Settings → Business Profile → Reply tone to choose how Re-Voo sounds.

    Tone options

    Formal - Professional and polished. Best for medical, legal, financial, or luxury businesses. Example: "We sincerely appreciate your kind words and look forward to welcoming you again."

    Friendly - Warm and approachable without being casual. Good for most restaurants, retail, and service businesses. Example: "Thanks so much for the kind words - we're so glad you enjoyed it!"

    Casual - Conversational and relaxed. Good for bars, coffee shops, gyms, creative businesses. Example: "Awesome, so glad you loved it! Come back soon!"

    Business type also affects tone

    Setting your Business type (restaurant, medical practice, hotel, etc.) in Settings further refines how the AI writes. A hospital reply sounds different from a pizza place reply even on the same tone setting.

    Fine-tuning with custom instructions

    If the tone presets aren't quite right, use Settings → AI Instructions to add specifics: "Always mention that we're family-owned" or "Never use exclamation marks more than once per reply."

    Improving reply quality

    The single most effective way to improve Re-Voo's replies is to add clear instructions in Settings → AI Instructions.

    Examples of useful instructions

    Add a specific CTA to negative replies:
    "For reviews with 3 stars or below, always include: 'Please reach out to us at [email] so we can make this right.'"

    Mention a staff member or owner:
    "Sign off replies with 'Warmly, Maria and the team at [Restaurant Name].'"

    Highlight something specific:
    "If a reviewer mentions our outdoor patio, note that we've recently upgraded it."

    Avoid certain phrases:
    "Never use the phrase 'We appreciate your feedback.' It sounds corporate."

    Test changes quickly

    After updating instructions, click Regenerate on any existing pending reply to immediately see the effect of your change. No need to wait for a new review.

    Replies feel too generic

    If replies feel like templates, here's what to check:

    1. Add your business type

    Go to Settings → Business Profile → Business type and be specific. "Restaurant" is okay. "Family-owned Italian restaurant in Brooklyn serving Southern Italian cuisine since 1987" is much better. The more context the AI has, the more specific it can be.

    2. Reviews with no specific content

    Some reviews are just "Great place!" with nothing specific to reference. The AI can only work with what the reviewer wrote. For these reviews, Re-Voo generates the best reply it can - it'll be short and warm, but there's nothing specific to personalize.

    3. Add distinguishing details about your business

    In Settings → AI Instructions, add things unique to your business: signature dishes, your origin story, awards, community involvement. The AI weaves these naturally into relevant replies.

    Example: "We're known for our wood-fired sourdough pizza and our family's secret marinara recipe, passed down for three generations."

    4. Switch to a more specific tone

    "Formal" tone sometimes produces generic-sounding replies. Try "Friendly" and see if that improves it.

    Managing multiple locations

    Each additional location beyond the first is $10/month on the Pro plan. There's no limit to how many locations you can add.

    How locations work

    Each location has its own:

  • Review queue
  • Reply history
  • Settings (tone, instructions, auto-reply)
  • You manage all locations from a single dashboard - no need to log in and out.

    Shared vs. per-location settings

    Your overall account settings (email, billing, connected Google account) are shared. Reply tone and AI instructions can be configured independently per location - useful if different locations have different vibes.

    Adding a new location

    Go to Dashboard → Locations → Add location.

  • Click Add location
  • If the new location is under the same Google account, it should appear in the location picker automatically
  • If it's under a different Google account, click Connect a different Google account and sign in with that account
  • Select the location and click Add
  • The new location is added immediately. Billing is prorated - you'll be charged for the remainder of the current billing period.

    Each location can have its own tone and AI instructions. After adding, go to that location's Settings to customize it separately from your other locations.

    Switching between locations

    Use the location switcher in the top left of your dashboard to move between locations. Click the location name to open the dropdown and select a different one.

    All review queues, settings, and analytics update to reflect the selected location. Your other locations continue running in the background - new reviews are collected and replies generated automatically regardless of which location you're viewing.

    Upgrading your plan

    Go to Dashboard → Billing → Upgrade and select your plan.

    Your new plan takes effect immediately. If upgrading from monthly to annual, you're billed the prorated difference for the remainder of the current month, then the annual rate going forward.

    Upgrading during your trial

    You can upgrade before your trial ends. Your billing period starts the day you upgrade, and you keep using Re-Voo uninterrupted.

    Adding locations

    Go to Dashboard → Locations → Add location. Each additional location is $10/month added to your next invoice.

    Cancelling your subscription

    Go to Dashboard → Billing → Cancel subscription. No cancellation fee, no questions asked.

    Your access continues until the end of the current billing period. After that, Re-Voo stops generating new replies but your account, reply history, and connected location data are preserved for 90 days.

    Reactivating after cancellation

    Just go to Billing → Choose a plan at any time. Your history and settings are right where you left them.

    Partial-month refunds

    We don't offer refunds on partial months. If you have a billing issue or something went wrong, email support@re-voo.com and we'll make it right.

    Understanding your bill

    Go to Dashboard → Billing → Invoice history to see all past invoices.

    What you're charged for

  • Your base plan (Pro monthly or annual)
  • Additional locations ($10/month each, prorated)
  • Proration

    When you add a location mid-cycle, you're charged the prorated amount for the remaining days in the billing period. The full $10/month charge begins on your next renewal date.

    Receipts

    Stripe sends an automatic receipt to your account email after every charge. Check your spam folder if you're not seeing them.

    Updating payment method

    Go to Dashboard → Billing → Update payment method. Changes take effect on your next billing cycle.

    Reviews not showing up

    If your reviews aren't appearing in Re-Voo, work through this checklist:

    1. Confirm you connected the right Google account

    Re-Voo needs to be connected to the Google account that has Owner or Manager access to your Business Profile. Go to Settings → Connected account and verify the email shown matches your Business Profile manager account.

    2. Check your Business Profile actually has reviews

    Search for your business on Google Maps and confirm reviews are visible there. If you have no reviews, there's nothing for Re-Voo to pull.

    3. Reconnect your Google account

    Go to Settings → Connected account → Disconnect, then reconnect. Sometimes the OAuth token expires and a fresh connection resolves the issue.

    4. Check that the correct location is selected

    If you have multiple Business Profile locations, make sure you selected the right one during setup. Go to Settings → Location to verify.

    Google "unverified app" warning

    When connecting your Google account, you may see a screen that says "Google hasn't verified this app". This is expected and safe to proceed through.

    Why this appears

    Google shows this warning for apps that are in the process of completing their OAuth verification review. Re-Voo is a legitimate app actively working through Google's verification process.

    How to proceed

  • On the warning screen, click Advanced (bottom left)
  • Click Go to Re-Voo (unsafe) - the word "unsafe" is misleading, this is Google's standard language for unverified apps
  • Review the permissions and click Allow
  • What permissions Re-Voo requests

  • Read your Google Business Profile reviews
  • Post replies to reviews on your behalf
  • Re-Voo does not request access to your Gmail, Drive, Calendar, or any other Google service.

    Replies not posting to Google

    If you approve a reply in Re-Voo but it doesn't appear on Google:

    1. Allow a few minutes

    Google sometimes takes 2–5 minutes to reflect posted replies. Refresh the review on Google Maps before assuming something went wrong.

    2. Check for a posting error in your dashboard

    Go to Dashboard → Reply history. If a reply failed to post, you'll see an error status next to it. Common errors: expired Google token, permission issue.

    3. Reconnect your Google account

    Google OAuth tokens expire. Go to Settings → Connected account → Reconnect and sign in with Google again. Then retry the failed reply.

    4. Check your Google Business Profile access

    If someone removed your Manager access to the Business Profile after you connected Re-Voo, posting will fail. Log in to business.google.com and confirm your access is still active.

    Disconnecting your Google account

    To disconnect your Google account from Re-Voo, go to Settings → Connected account → Disconnect.

    This stops Re-Voo from accessing your reviews and posting replies. Your review history and account data in Re-Voo are preserved.

    Revoking access from Google's side

    To fully revoke Re-Voo's access from Google:

  • Go to myaccount.google.com/permissions
  • Find Re-Voo in the list
  • Click Remove access
  • Once revoked, Re-Voo can no longer access your Google Business Profile even if an OAuth token was previously stored.
